Overview#
Billing covers your organization’s subscription plan, invoices, payments (processed through Stripe or Razorpay), coupons, an internal wallet, refunds, and license seat management. A separate SaaS-admin view gives platform operators a revenue and tenant-management dashboard.
Purpose#
Explain how a tenant manages its own subscription and payment details, and where seat licenses are tracked.
Prerequisites#
- A Billing Administrator or System Administrator account for your organization.
Step-by-Step Instructions#
Managing your subscription#
- Go to Billing → Subscription to see your current plan.
- Review available plans, then upgrade, downgrade, pause, resume, or cancel your subscription as needed.
- If your organization is on a trial, review the trial status and start/upgrade timing.
- Review subscription history for a record of past plan changes.
Invoices and payments#
- Go to Billing → Invoices to view generated invoices.
- Go to Billing → Payments to view payment history; payments are processed through your organization’s configured payment provider (Stripe or Razorpay).
- Update your billing address under Billing settings.
- Apply a valid coupon at checkout/renewal where offered.
Wallet and refunds#
- View your wallet balance and credit history under Billing → Wallet.
- Refund requests are recorded and tracked through the Refunds area.
License seats#
- Go to Licensing → Seats to view seat-based license entitlements.
- Assign or revoke a seat for a specific employee.
- Review usage metering for licensed features against your entitlement.
Platform operator view (SaaS Admin)#
- Platform operators can review a revenue dashboard (MRR, ARR, churn, trial conversion) across all tenants.
- Manage tenants directly: list, view detail, suspend, or reactivate a tenant.
- Review invoice, payment, and usage dashboards, and manage plans and coupons at the platform level.

Expected Results#
An accurate, current view of your subscription plan, invoice/payment history, and license seat allocation, with self-service plan changes taking effect without a support ticket.
Not Available in This Release#
- No payment providers beyond Stripe and Razorpay.
- No automated dunning/payment-retry sequence was confirmed in this release.
- No dedicated tax-calculation provider integration (e.g., for automated sales-tax/VAT calculation) was confirmed.
Common Mistakes#
- Assuming usage metering automatically triggers metered billing charges with your payment provider — confirm this integration with your billing administrator rather than assuming it.
- Canceling a subscription without first reviewing what happens to in-progress data/access for your tenant.
Troubleshooting#
A payment failed.#
Check the payment method on file with your configured provider (Stripe or Razorpay). Update payment details and retry from the Payments area.
A coupon will not apply.#
Coupons are validated against eligibility rules (such as expiry or plan restrictions) before being accepted — confirm the coupon is still valid for your plan and hasn’t already been redeemed.
