Overview#

Task Management is a cross-module inbox that surfaces work items generated by other parts of the system — workflow approvals, employee actions, attendance/leave/payroll items, compliance and document tasks, onboarding/offboarding steps, and system/custom tasks — in one place.

Purpose#

Explain how to work through your task inbox and understand what a "task" represents in this system, since it is not a general project-management tool.

Prerequisites#

  • A user account with tasks assigned to you, your team, or awaiting your approval.

Step-by-Step Instructions#

Working your inbox#

  1. Open Tasks → Inbox to see items assigned to you.
  2. Use the dashboard for a summary view, and saved views/search to filter recurring queries (for example, "my overdue tasks").
  3. Open a task to see its type, details, comments, and any attachments.

Acting on a task#

  1. Complete, cancel, snooze, or escalate a task as appropriate.
  2. Assign, reassign, or delegate a task to someone else.
  3. Add a comment or attachment for context, and add or remove watchers who should be kept informed.
  4. For approval-type tasks, approve or reject directly from the task — this is how approvals from other modules (like leave or expense-style requests) surface to you.

Manager and HR views#

  1. Managers can see team, due, overdue, and pending-approval tasks across their reports.
  2. HR Administrators have an HR-scoped task view and can use bulk inbox actions (complete/cancel/reassign) across multiple tasks at once.

Expected Results#

A single place to see and act on everything requiring your attention across modules, instead of hunting through each module separately.

Not Available in This Release#

🚫
Not currently available
  • No task boards or kanban view for general task management (the kanban-style board in this product is specific to the Recruitment pipeline, not general tasks).
  • No projects or sub-projects concept — tasks are flat items with a fixed type, not a project hierarchy.
  • No task dependencies (task A blocking task B).
  • No multi-step approval-chain builder inside the Tasks module itself — multi-step approvals are configured in the separate Workflow engine and surface here as approval-type tasks.
  • No time tracking on tasks.

Common Mistakes#

  • Expecting Task Management to work like a Trello/Asana-style board — it is a cross-module inbox, not a project-management tool.
  • Letting escalated tasks pile up instead of reassigning or delegating work that will not be completed on time.
  • Trying to build a multi-step approval chain from within a task — that configuration lives in the Workflow engine, not here.

Troubleshooting#

A task I expected to see is missing from my inbox.#

Check whether it was reassigned or delegated to someone else, or whether it has already been completed/cancelled. Use search or saved views to look beyond the default inbox filter.

I need multiple people to approve something in sequence.#

That is configured through the Workflow engine (multi-step approval definitions), which then generates approval-type tasks for each approver in turn — it is not something you configure from inside a single task.

FAQ#

Is this a project-management tool like Trello or Asana?

No. There is no board/kanban view, no projects, and no task dependencies for general tasks. It is a cross-module inbox for work items generated by HR processes.

What task types exist?

Workflow, Approval, Employee, Attendance, Leave, Payroll, Compliance, Document, Onboarding, Offboarding, System, and Custom.

Can I delegate a task while I’m on leave?

Yes, use the delegate action on the task, or reassign it to a colleague.

Best Practices#

  • Save a view for the filters you check daily (e.g., overdue + assigned to me) rather than re-filtering each time.
  • Escalate proactively rather than letting a task auto-escalate past its window.
